Job Summary:   The Program Coordinator plays an important role in the Edwin J. Feulner Institute’s mission to build, serve, and lead the Conservative Movement. The Program Coordinator ensures the efficient operations of the Institute by managing the Executive Director’s calendar, coordinating department records, and tracking projects. This position facilitates Heritage prize programming, and assists in the planning and execution of conferences, events, working groups, meetings, and travel. As a representative of the Institute, the Coordinator must exhibit a customer-first mentality, excellent communication, interpersonal skills, and a strong work ethic.

Job Duties:    

Ensure the efficient operations of the Edwin J. Feulner Institute: 
  • Serve as the liaison between staff and external stakeholders seeking meetings and contact with the Executive Director.
  • Responsible for scheduling and meeting logistics, maintaining calendar and contacts, maintaining departmental records, preparing expense reports, processing invoices, and other general administrative support.
  • Prepare and refine communications, presentations, and strategic documents to support Institute initiatives.
  • Oversee project timelines and deliverables, leading the creation of mid-year and annual impact reports to track progress and showcase results. Support the Executive Director’s presence at conferences, meetings, and events by assisting in travel planning and conference prep, facilitating distribution of Heritage products, and completing necessary conference follow-up.
  • Track engagement, maintain key influence lists, and update contacts, and log meetings and emails within Salesforce.
  • Interview and supervise Spring, Summer, and Fall interns.


Administration of Annual Movement Prizes and Conference Programming
  • Lead the administration and strategic promotion of Heritage’s Innovation and Academic Prizes, collaborating with consultants, reviewers, and internal stakeholders to manage applications, communications, and the recognition of award recipients.
  • Direct the planning and execution of the annual Summer Colloquium for Academic Prize recipients, overseeing scheduling, materials, travel, and speaker engagement in close coordination with the Heritage Events team.
  • Plan and manage children’s, youth, and young adult programming tracks for the annual Awakening Conference, overseeing planning meetings, coordinating logistics with the Special Events team, and providing on-site support. Assist additional conferences as assigned.

Qualifications:
Education:                   BA/BS preferred  
Experience:                 2+ years administrative experience (particularly in a busy setting)  
Communication:         Clear and effective written and verbal communication and strong                                                          interpersonal skills
Technology:                Proficient in Microsoft Suite

The salary range for this role is $54,000 - $60,000 annually. This range is a good-faith estimate, and the final salary offered to a selected candidate depends on a variety of factors including, but not limited to, the candidate’s experience, education, and other qualifications; internal and external market pay for comparable jobs; and level of hire based on aforementioned qualifications.
