Title:                      Program Coordinator, Davis Institute for National Security and Foreign Policy

Reports to:           Vice President, Davis Institute for National Security and Foreign Policy

Job Summary:         The Program Coordinator provides administrative, executive, logistical, and program support to the Davis Institute Vice President. Executive support tasks include managing the Vice President’s schedule, travel, expenses, and invitations, projects and initiatives across Heritage’s policy institutes, and planning and executing the Vice President’s public and private events. The Program Coordinator anticipates and completes tasks in an efficient and effective manner, exhibits excellent customer service, and possesses a strong work ethic.

Job Duties:

  • Manage the Vice President’s calendar, expenses, correspondence, and travel arrangements.
  • Manage the Vice President’s budget, assist with the Davis Institute’s budgeting process, and provide quarterly reports on Davis spending levels.
  • Prepare new staff offices and orient them to Heritage colleagues and resources.
  • Compile staff submissions for quarterly, mid-year, and yearly Davis Institute evaluations.
  • Assist in compiling the Davis Institute weekly reports and coordinate responses to Senior Management queries as necessary.
  • Oversee logistics for all Davis Institute events and meetings in which the Vice President is participating, including arranging venues, issuing invitations, and compiling Heritage materials.
  • Schedule, prepare agendas, and take notes for Davis Institute management meetings.
  • Select, train, and oversee Davis Institute interns.
  • Other duties as assigned by Vice President.

 

Qualifications:

Education:                   BA or BS preferred

Experience:                 2-3 years experience as an administrative assistant

Communication:         Strong written and verbal communication skills

Technology:                Microsoft Suite

  • General familiarity with U.S. national security policy.

The salary range for this role is $52,000 - $62,000 annually. This range is a good faith estimate, and the final salary offered to a selected candidate depends on a variety of factors including, but not limited to, the candidate’s experience, education, and other qualifications; internal and external market pay for comparable jobs; and level of hire based on aforementioned qualifications.
