Job Summary:          The Executive Assistant is responsible for assisting the Group Vice President of Development and maintaining the efficiency of the office and work. Responsible for clerical and administrative support such as calendar/scheduling, travel arrangements, accounting/budget needs, correspondence, and special projects. As a representative of The Heritage Foundation, the development department, and the Group Vice President of Development, the Executive Assistant must exhibit excellent customer service, communication and writing skills.

Job Duties:

  • Administrative support: calendar/scheduling, travel arrangements, accounting/budget needs, correspondence, and special projects
  • Assist with speech writing and donor correspondence
  • Provide general support for the department: sorting mail, answering the phones, fielding questions from donors to appropriate staff, maintaining department files, and organizing weekly staff meeting
  • Talk with and cultivate relationships with donors on a daily basis
  • Perform cross-departmental functions within Heritage
  • Act as a liaison between department intern supervisors and intern program; aid in the selection and supervision of department interns
  • Organize and assist with various departmental training programs
  • Organize, plan, and implement annual department dinner and activity for 60+ people
  • Research daily news and policy updates in order to better communicate Heritage’s work to donors
  • Serve as back-up support for processing major gift income in donor database.

Skills Factors:

Education:    BA/BS preferred

Experience: 5-7 years of relevant experience

Computer:    Proficient in MS Office and Outlook. Excellent skills in Word and Excel; some database experience required; PowerPoint skills preferred.
